Appointments & Referrals
Appointments can be scheduled by phone Monday through Friday. Most referrals require an appointment. Please allow 48–72 hours for referral appointments.
Vaccine Policy
We are a vaccinating office and follow the American Academy of Pediatrics recommended immunization schedule to help protect the health and safety of all patients.
Prescriptions and refills are handled during scheduled office visits, and enough medication will be prescribed to last until the patient’s next appointment. Running out of medication may indicate it is time to schedule a follow-up visit. Patients are requested to be seen annually for routine medication refills.
If your prescription insurance plan requires prior authorization for a medication, you will be responsible for obtaining a Prior Authorization Form from your insurance company for your physician to complete. While our physicians and staff do their best to help patients obtain maximum prescription benefits, insurance plans — including prescription coverage — are contracts between the patient and their insurance company.
If you need to change pharmacies or switch to a mail-order pharmacy, Ohio law permits non-expired prescriptions to be transferred to a new pharmacy without charge or interruption. However, many mail-order pharmacies require prescriptions to be rewritten. If this is requested before your next routine visit, patients may:
- Schedule an appointment for repeat refills
- Wait until their next regular visit to change pharmacies
- Pay a fee for the physician to review records and rewrite the prescription for office pickup
Lost prescriptions for controlled medications (such as pain medications or sleep aids) will not be replaced.
We discourage calling in prescriptions, as it does not allow the physician or patient to reevaluate the appropriateness of the medication or monitor the condition being treated. We do not accept refill requests directly from pharmacies. When pharmacies contact our office, we request direct communication with the patient instead.
Late Cancellation and No-Show Policy
We understand that plans can change. If you need to cancel or reschedule your appointment, we're here to help.
To keep appointments available for all patients and reduce wait times, please contact us at least 24 hours in advance if you cannot make your scheduled visit.
What Counts as a Late Cancellation or No-Show?
Late Cancellation: Canceling or rescheduling your appointment less than 24 hours before the scheduled time.
No-Show: Missing your appointment without notifying us at least 24 hours in advance.
Fees for Missed Appointments
Appointments not canceled at least 24 hours ahead of time will incur a $25 fee.
Please note: This fee is not covered by insurance and will be billed directly to you.
How to Cancel or Reschedule
You may cancel or reschedule your appointment in any of the following ways:
- MyChart: If you're enrolled, you can cancel or reschedule anytime through your account.
- Call the office: If we're unable to answer, please leave a voicemail with your full name, date of birth, appointment date/time, and the reason for cancellation.
Helpful Reminder
Please arrive 15 minutes before your scheduled appointment to allow time for check-in and any necessary paperwork. This helps us stay on schedule and ensures your visit runs smoothly.
